Kenya Institute of Supplies Management is a national body for professionals in the practice of procurement and supplies management in Kenya. The Institute draws its mandate from the “Supplies Practitioners Management Act No.17 of 2007.” This Act provides the legal framework within which the Institute is established and operates as a corporate body promoting learning, development of best practices, and application of the same to the practice of procurement and supply chain management.

We are recruiting to fill the positions below:

Job Title: Examinations Coordinator – Test Development

Job Type: Full Time

Qualification: BA/BSc/HND

Experience: None

Location: Nairobi

Job Field: Administration / Secretarial

He/she will coordinate and support technical aspects of development and administration of examinations and related processes.

Duties and Responsibilities

  • Coordinating examination development processes to ensure tests developed are valid, reliable and fair
  • Providing support as required to examiners, panels, committees, taskforces and internal functions facilitating the examination development process
  • Facilitating development, production and distribution of syllabuses, manuals, and examination material, while adhering to established standards and contributing to improvement of standards
  • Contributing to development and delivery of capacity building interventions for examiners, trainers, training institutions, and other actors in the examinations process
  • Coordinating secure, accurate, timely and appropriate flows of information and tasks within the examination development process
  • Coordinating processing of examination results including, preparations for marking, verification, analysis, reporting, dispatching results, and dealing with related enquiries
  • Supporting marketing of examinations to institutions and potential candidates
  • Supporting student registration and candidate examination entry processing
  • Undertake other tasks or assignments within the Examinations Department as directed by the supervisor.

Education and Experience 

  • Bachelor’s degree in Education or Procurement and Supply Chain Management
  • Professional Diploma in purchasing and supply chain management
  • Master’s degree in Supply Chain Management is an added advantage
  • Member of KISM
  • Meet the requirements of Chapter Six of the Constitution
  • 3 years of relevant experience

Job Title: ICT Officer

Job Type: Full Time

Qualification: BA/BSc/HND

Experience: 3 years

Location: Nairobi

Job Field: ICT / Computer

The ICT officer is responsible for providing technical ICT support to the Board.

Duties and Responsibilities

  • Champion successful implementation of ICT programmes/projects at KISEB
  • Assist in the management of SLAs for contractors for ICT projects being implemented at KISEB
  • Liaise with key stakeholders to clarify, analyse or resolve ICT related issues delivering high standards of customer service.
  • Monitor, evaluate and submit regular reports on ICT systems
  • Ensure that network access privileges, application, data storage and regular backups are configured and maintained
  • Ensure system security is up to date
  • Implement and update data disaster recovery plan
  • Schedule computer related services, maintenance and license renewals
  • Ensure installation and maintenance of protection services
  • Plan network upgrades, expansions and replacements
  • Participate in the procurement process of ICT equipment
  • Maintain inventory of ICT equipment, hardware, software
  • Undertake other tasks or assignments within the area of competence as directed by the supervisor.

Job Title: Finance Officer

Job Type: Full Time

Experience: 3 years

Location: Nairobi

Job Field: Finance / Accounting / Audit

The Finance Assistant will be responsible for preparing and updating the organisation’s accounting records on a monthly, quarterly and annual basis. The role will report to the Finance Manager. Responsibilities

  • Prepare monthly management reports
  • Prepare and/or updating accounting records on a daily basis
  • Prepare comprehensive un-audited financial statements and reports on a quarterly and annual basis in accordance International Financial Reporting Standards
  • Implementation of financial policies
  • Ensuring effective invoicing and debt collection.
  • Ensuring remittances of all statutory deductions
  • Ensure organisation’s assets are adequately maintained and secured
  • Processing payments and receivables
  • Responsibility for the preparation and submission of periodic statutory deductions and filings before the set dates.
  • Responsible for financial compliance with tax laws
  • Any other accounting duties assigned by the supervisor
  • Budget planning 

Education and Experience

  • Certified Public Accountant (CPA-K)
  • Bachelor’s degree in Finance or Accounting
  • 3 years’ experience in an accountancy job.

  • Knowledge of accounting packages especially QuickBooks, Sage or ACCPAC
  • Proficient in Microsoft Office
  • Sound knowledge and understanding of International Financial
  • Reporting Standards and accounting principles

  • Ability to synthesise information, interpret and provide broader context using financial and non-financial information. 

Job Title: Supply Chain Management Assistant

Job Type: Full Time

Qualification: BA/BSc/HND

Location: Nairobi

Job Field: Procurement / Store-keeping / Supply Chain

The Supply Chain Management Assistant will be responsible for undertaking activities in supply chain management unit.

Duties and responsibilities

  • Receiving and issuing of stores
  • Preparing and maintaining stores record
  • Sourcing for goods, works and services as per the procurement law;
  • Raising purchase orders for goods and services for approval;
  • Liaising with suppliers to ensure timely delivery of goods and services;
  • Maintaining and update a list of prequalified suppliers;
  • Assisting in undertaking market surveys to ensure KISEB obtains value for money;
  • Ensuring safe custody of all procurement’s records; and
  • Participating in the opening quotations.
  • Undertake other tasks or assignments within the area of competence as directed by the supervisor.

Education and Experience

  • Diploma in Supply Chain Management, Procurement and Supply, Purchasing and Supplies Management
  • Bachelor’s Degree in Supply Chain Management, Procurement & Supply is added advantage.
  • Proficiency in computer applications
  • Member of KISM, in good standing.

Job Title: Exam Office Assistant

Job Type: Full Time

Perform wide range of administrative and office support activities to facilitate the efficient operation of the Board.

Main responsibilities

  • General clerical duties including photocopying mailing,
  • Maintain electronic and hard copy filing system
  • Retrieve documents from filing system
  • Handle requests for information and data
  • Prepare written responses to routine enquiries
  • Prepare and modify documents including correspondence, reports, drafts, memos and emails
  • Schedule and coordinate meetings, appointments, travel arrangements

Perform a wide range of customer service oriented activities.

Duties and Responsibilities

  • Attend promptly to all incoming calls and notify the relevant parties
  • Attending to incoming and outgoing mails and recording them chronologically 
  • Attend promptly to all clients and business associates coming to the offices and ensure that they are treated in a welcoming and friendly manner
  • General office management including filing both soft and hard copy documents, maintenance of organization files
  • Assisting in preparation of marketing events
  • Provide product information to assist customers in making a decision about the products
  • Escalate unresolved complaints to relevant parties
  • Follow ups with customers
  • Ensure the office is neat and clean working closely with the Exam Office Assistant
